Dear Sir or Madam,
I am writing regarding the conference room I booked at your hotel for a business event on 15 May, under the reference EZ-4471.
Unfortunately, our circumstances have changed and I need to amend the original booking. The number of attendees has risen from 20 to 35 following a late merger of two departments, which means the room I reserved will no longer be large enough.
I would therefore be grateful if you could move our reservation to one of your larger function rooms for the same date and time. In addition, we will now require a buffet lunch for 35 people rather than the tea and coffee service originally requested.
Could you please confirm whether these changes can be accommodated, and let me know if any additional charges will apply? I would appreciate a written quotation before I confirm.
Thank you for your assistance. I look forward to your prompt reply.
Yours faithfully, [Your name]
